Systems / Custom CRM Development

A CRM should run the process. Not just store contacts.

Setavo builds CRM systems around what happens from the moment a lead appears to the moment your team has finished with it.

01Flagship system

Built for a business where leads can come from everywhere.

Swift's leads come from marketers, social DMs, the website, forms, phone calls and in-person marketing. Every one of them now enters the same CRM, with its source captured and its next step clear.

Swift Attorney CRM: Marketer content, Instagram DM, Facebook, Website, Form, Phone, In-person marketing all lead into one system. Then: Lead, then Source captured, then Customer details, then CRM record, then Status / qualification, then Admin visibility, then Correct next action, then Follow-up.

02Who it serves

One system. Everyone gets what they need from it.

  1. Marketers

    Bring leads into the operation

  2. Admin

See incoming leads and what needs attention

  3. CRM

    Keeps the customer journey visible

  4. Automation

Handles repetitive actions and moves information

  5. Management

Sees pipeline, lead sources and activity

We build around the business. The software follows.

03Source attribution

Know what's actually producing business.

When multiple marketers, campaigns and entry points feed one operation, knowing where each lead came from matters.

04Before and after

From scattered entrances to one pipeline.

Before8 disconnected steps

  1. 01Website
  2. 02Marketers
  3. 03Calls
  4. 04Messages
  5. 05Forms
  6. 06Manual notes
  7. 07Separate conversations
  8. 08Hard-to-see pipeline

AfterOne connected system

  1. 01One pipeline
  2. 02Every lead has a source
  3. 03Every lead has a status
  4. 04Admin knows what needs attention
  5. 05Management has visibility
  6. 06The next action is clear

Your business isn't generic. Your CRM shouldn't be either.

  • Trades & home services

Enquiries, quotes, jobs and follow-ups in one place.

  • Salons, clinics & studios

Bookings, reminders, no-shows and repeat clients.

  • Agencies & consultants

Leads, proposals, clients and who’s doing what.

    Example
  • Any other business

    Whatever your operation needs.

That's the point.

05The problem

Signs the CRM is working against you

  • 01Your team keeps a side spreadsheet because the CRM can't track what matters.
  • 02Leads arrive from places the CRM doesn't see: DMs, calls, a web form that emails one person.
  • 03The pipeline stages don't match the stages your deals actually go through.
  • 04You're paying for a long list of features and using a handful.

06How it works

How a Setavo CRM follows the sale

  1. 01Enquiry from any source
  2. 02Qualified against your criteria
  3. 03Routed to the right person
  4. 04Follow-up scheduled
  5. 05Quote sent from the record
  6. 06Won, lost or nurtured

Every stage records why, so the pipeline tells you something.

07What it includes

What your CRM might contain

  • Lead pipelines

Stages that mirror how your deals really progress.

  • Source tracking

Know which channel every enquiry came from.

  • Customer history

Every call, message and quote on one timeline.

  • Automated follow-up

Nobody goes quiet because someone forgot.

  • Quotes

Built from the record, sent from the record.

  • Tasks

Next actions assigned automatically at each stage.

  • Dashboards

Pipeline value, conversion and workload at a glance.

  • Team workflows

Handoffs between people that don’t rely on memory.

  • Reporting

The questions you ask every month, answered.

  • Messaging

Email, SMS or DM conversations logged against the lead.

  • Website & lead integrations

Forms and landing pages feed straight in.

  • Client portals

Customers check progress without chasing you.

Your CRM may contain all of these. Or none of them. The system exists to support the business, not to maximise a feature list.

Where we've done this

  • US accident help / Swift Attorney

Multiple lead sources. One operating system.

    The problem
Leads arrived through marketers, Instagram, Facebook, the website, forms, phone calls and in-person marketing, and each entrance worked differently.
    What changed
A website, CRM and automations that bring every lead into one pipeline with its source captured, its status visible and the next action clear.
    The result
Every lead has a source and a status. Admin knows what needs attention. Management can see the pipeline.
  • Property investment / Alderstones

Qualifying and matching property investors, without the manual sift

    The problem
Every prospective investor had to be assessed by hand before the owner knew whether they were worth a conversation.
    What changed
A system that qualifies investors and matches them to suitable properties. If an investor dislikes a match, they update their preferences and receive a different one.
    The result
Built to remove the manual qualification and matching work from the owner’s week.
  • Trades

Keeping the CRM. Fixing what fed it.

    The problem
The client already owned a generic CRM that did most of what they needed — but enquiries from social messaging weren’t feeding into it properly.
    What changed
We kept the existing CRM, built the missing DM automations around it, and connected new social enquiries into it and into the sales process.
    The result
Existing CRM. Better system. No unnecessary rebuild.

Questions people ask

Should we build a custom CRM or use an off-the-shelf one?

Off-the-shelf CRMs are built around common sales processes. The problem starts when your team is keeping side spreadsheets, manually moving information, paying for features it never uses or changing the way it works to fit the software. That’s where a Setavo CRM earns its value: the system follows your process rather than forcing your process into the system. If part of your existing CRM already works, we can keep it and build around it.

What if I don’t like what you build?

We agree exactly what we’re building before we start. If you don’t like something, tell us and we’ll change it until it matches what we agreed. If we still can’t deliver what we agreed, you pay £0.

We already have a CRM. Do we have to replace it?

No. On one project we kept a client's existing CRM and built the DM automations it was missing, so social enquiries fed straight into it. Replacing it would have added cost without solving anything extra.

How much does a custom CRM cost?

Custom CRMs start from £2,000. The price increases with complexity, integrations, user types and build time, and you will know the figure before development begins.

Can it connect to our website, phone system and messaging?

Yes. Website forms, AI phone systems and DM automation can all create and update records in the same CRM, so every enquiry ends up in one place.

    Business Systems

Spreadsheets, inboxes and disconnected tools replaced with one purpose-built system.

  • Automation

    AI & Workflow Automation

The copying, chasing and updating handled by the system, not your team.

  • Connections

    Integrations

The tools you already own, connected so information stops getting stuck.
