Qualifying and matching property investors, without the manual sift

Built to remove the manual qualification and matching work from the owner’s week.

Diagram of the system Setavo built.

01The business

The business

Alderstones works in property investment, connecting prospective investors with properties that suit them.

02The problem

What wasn't working

Every new investor enquiry needed the owner’s personal attention before anyone knew whether it was a good fit. Most of that time went on assessment, not on the conversations that actually move a deal forward.

Matching investors to properties was manual too, and every change of preference meant starting the matching again.

03The old process

How it used to run

  1. 01Investor enquiry arrives
  2. 02Owner reviews it personally
  3. 03Suitability assessed by hand
  4. 04Properties matched by hand
  5. 05Preferences change — matching starts again

04What Setavo changed

What we changed

  • Qualification moved into the system, so investors are assessed against set criteria before the owner is involved.
  • Qualified investors are matched to suitable properties automatically.
  • Investors who dislike a match can update their own preferences and receive a different one.

05The system

The investor system

  1. 01Investor enquiry
  2. 02Qualified against criteria
  3. 03Matched to suitable property
  4. 04Preferences updated by investor
  5. 05New match delivered

06The operational result

The result

The qualification and matching that used to sit with the owner now happens in the system, so personal time can go to investors who already fit.

The building blocks behind this

  • Systems

    Custom CRM Development

Pipelines, follow-up and reporting shaped around how you actually sell.

  • Systems

    Business Systems

Spreadsheets, inboxes and disconnected tools replaced with one purpose-built system.

  • Automation

    AI & Workflow Automation

The copying, chasing and updating handled by the system, not your team.
