How it works

Better process first. Technology second.

Five stages, one line through all of them. The order matters: we never automate a process before we've made it simpler.

01The Setavo process

The five stages

  1. 01

    Understand

Learn how the business currently operates.

We talk through who does what, where enquiries come from, which tools are involved and where work slows down. You don’t need to prepare a brief or know what software you want.

    Your part

Describe what happens now, and what you’d rather happen instead.

  2. 02

    Map

Map the workflow and identify friction, repetition and handoffs.

Every step gets written down, including the ones nobody thinks of as steps: the copy-paste, the reminder, the message to a colleague. That map is where the waste becomes visible.

    Your part

Walk us through a real example, from first contact to finished job.

  3. 03

    Simplify

Remove, combine or redesign unnecessary steps.

Before anything is built, we remove the steps that shouldn’t exist. That means the system we build is smaller, cleaner and cheaper to run, because we’re automating the improved process, not preserving old inefficiencies. If the problem can be solved without replacing your current software, we’ll work around what you already have. Either way, we agree the outcome and the price before development begins.

    Your part

Agree the outcome you want the system to deliver.

  4. 04

    Build

Create or connect the technology required.

That might be a new CRM or business system, an automation, an AI phone or DM workflow, a website, or a connection between tools you already own. Whatever the improved process needs, and nothing it doesn’t.

    Your part

Give us access to the tools involved, and someone to answer questions.

  5. 05

    Improve

Test the system against the real workflow and refine it.

The system is judged by whether the real work gets simpler, not by whether it passed a demo. We refine it through the agreed revision process until it does what we agreed.

    Your part

Use it for real and tell us where it rubs.

Stage one is just a conversation.

The Setavo guarantee

£0That’s what you pay if we can’t deliver what we agreed.

We agree the outcome before development begins. If we cannot deliver the agreed solution and cannot put it right, there is no Setavo build fee.

Questions people ask

Do I need to know what software I need?

No. You shouldn't need to know which API, CRM, automation platform or AI model solves the problem. Tell us what's frustrating you; working out the technology is our job.

How long does a project take?

It depends on what we're building. A DM automation is a much smaller job than a full business system. We'll talk timings through once we understand the scope.

What if you find we don't need anything new?

Then we'll tell you. Sometimes the fix is a simpler process or better use of the software you already own.

What happens if the build doesn’t deliver what we agreed?

We agree the outcome before development begins. If we can't deliver that agreed outcome and can't put it right through the agreed revision process, there is no Setavo build fee.

What’s taking too many steps?

Just show us the problem.

We can fix it.
